Property Management Policies & Procedures
CAROLINA MaxRealty, Inc. rents and manages single detached homes, condos and town homes in the Wake and Durham counties and its vicinities. We specialize on properties/homes that are most accessible to the Research Triangle Park and to the Raleigh Durham International Airport as we found these to be easily rentable properties with excellent rents. Likewise on properties in the surrounding areas of the Duke Medical Center and the University of North Carolina. Our rental listings are entered into the Triangle MLS and we market the properties through different channels: MLS, website www.CarolinaMaxRealty.com and submits to the different Search Engine link syndications like Trulia, Bing, MSN, Yahoo, Google, etc. and postings to Craigslist, Postlets, and etc. We handle showings and the many functionary services that goes with securing a tenant and managing the property thereafter. Owners also have the option to manage their own property once the lease agreement is in effect. Tenants will be screened and we see to it that they have good credit with no issues on previous tenancy or a criminal record history. Likewise, prospective tenants’ employment and references will be checked. Our Rental Listings and Property Management services are designed for our clients/investors in order to better serve their real estate investment goals. Responsibilities to our Property Owners.
Marketing your property to secure a tenant by employing the tools of the MLS, creating flyers, posting signs on the property, advertising in local publications, company and other internet websites, in compliance with State and Federal Fair Housing Laws.
Show your property to a prospective tenant/s when they call. Realtors from other companies may likewise bring tenants to view the property.
Screen tenant through credit, criminal and tenant history and verify work/income and personal references.
Walkthrough w/ tenant at or before move in.
Provide you copies of rental contract and tenant information right after contract is signed.
Collect rentals, security deposit, pet deposit, late charges and INF fees, and other amounts due under lease.
Provide you a statement of all monies received and disbursed; remit to you the monthly rent less appropriate deductions. (Rental check will be disbursed by the 5th day of receipt from the tenant to allow bank clearance on our end).
May make or cause to repair what is necessary to preserve, protect and maintain your property. Repairs exceeding an estimated amount of $250.00 may be initiated only with your prior approval.
Answer tenants requests and/or complaints in a timely manner.
Reports will be submitted to you. Take pictures of the house for record purposes reflecting the condition of the proeprty.
Visual Inspection the property and submit to you a report of the condition thereof.
If deemed appropriate and necessary in order to recover rent and other amount due to you, we institute eviction proceedings in small claims court to regain possession.
Walkthrough w/ tenant before move out to insure that condition of property is the same at end of contract. Ordinary wear and tear or other damages will be noted
Properly disburse security deposit
Sends rental income to property owner IRS Form 1099 by the second week of the first month of the year.
Sends instructions via email on reporting 1099 rental income and other applicable deductible items as real estate investor during the month of January. Please consult your legal or tax advisor for details.
PROFESSIONAL RENTAL AND PROPERTY MANAGEMENT SERVICE FEES
A retainers’ fee of $250.00 refundable after a lease agreement is signed and tenant moved in to the property.
One month rent taken from first month. We share this with the agent, if any, who helps us bring a tenant. Payment to the cooperating agent is disclosed in the MLS sheet.
8% discounted management fee for CAROLINA MaxRealty investors (taken off beginning on the 2nd month to the end end of lease term).
We collect and keep late charges and INF fees. Late Fees go to the landlord; INF fees to the company.
Retain 1 month security deposit from tenant in our escrow acct and properly disbursing it after tenant move out.
